Letters
of Recommendation can only be submitted by,
or officially for, the LSAMP Center Director.

to go directly to the on-line location to prepare and submit a Letter of Recommendation
Form. NOTE:
For the LSAMP at the Smithsonian '01 Winter Workshop we utilized the
Research Training Program "Letter of Recommendation" on-line form.
For item #1 participants made sure to indicate "other" and
record "LSAMP Winter Workshop" in the "please specify" section
to ensure that documents for the '01 Winter Workshop are directed to the correct
destination.

WHO
SUBMITTED THE LETTER OF RECOMMENDATION?
The
LSAMP at the Smithsonian '01 Winter Workshop was prepared to host one team nomination
(one student and one administrative representative) from 20 of the 27 LSAMP
Centers. To confirm that applications
received for participation in the workshop were part of the team selected by
the Center for consideration to participate in this extraordinary experience,
we required confirmation of team member names.
To confirm nominations, the LSAMP Center Director, or their designated
representative, had to confirm the nomination through a letter of recommendation
submitted via this web site.
WHAT
WAS INCLUDED IN THE LETTER OF RECOMMENDATION?
In
the letter of recommendation, LSAMP Center Directors, or their designated official,
should list the names of their team nominees, including one student plus one
administrative representative who will represent the Center during the one-week
workshop.
The
nomination should also include a brief description as to why these individuals
were chosen as representatives of the Center, for participation in the workshop.
WHO
HAD ACCESS TO REVIEW LETTERS OF RECOMMENDATION?
Letters
of recommendation were considered confidential documents and available for review
only by authorized personnel serving on official selecting panels.
Recommendation
documents are not available to workshop participants for review, either electronically
or in paper format, and information contained is not shared with them.
WAS
ELECTRONIC SUBMISSION REQUIRED?
Due
to time constraints, the LSAMP at the Smithsonian '01 Winter Workshop utilized
only on-line application submission and review. Center Directors, or their designated
official, were strongly encouraged to enter and submit their letter of recommendation
on-line at this web site.
If
on-line application was not possible, information was faxed directly to the
RTP office (202-786-2563).
TECHNICAL
NOTES ABOUT ADDING TEXT TO THE ON-LINE FORM
Do
not include graphics, special fonts, etc. as part of the letter of recommendation.
All letter of recommendation output will default to the same font and point
size, imposed by the programming. Special formatting included in the letter
of recommendation can compromise the integrity of the text and generally does
not transfer.
MODIFYING
ELECTRONIC TEXT SUBMITTED ON-LINE AT THE RTP WEB SITE
Letters
of recommendation entered on-line at the RTP web site could NOT be modified
or edited by the reference. However, if changes are desired, contact the system
administrator
to replace the existing text with a modified version.
SELECT
PROGRAM
The
on-line application for the LSAMP at the Smithsonian '01 Winter Workshop utilized
the same application forms as the Research Training Program summer session.
To direct materials to the appropriate destination, participants made
sure to click the "other" option for item #1 and indicate "LSAMP
Winter Workshop" in the "please specify" section.
Identifying
the appropriate program is critical to directing materials to the electronic
correct file.
WHAT
IS THE PERSONAL IDENTIFICATION NUMBER?
To
submit the letter of recommendation, Center Directors, or their
designated official, must first obtain from the
center representative nominee their Application Identification Number.
Please use this number to submit the letter of recommendation.
To match nominees accordingly in the electronic system, all applicants must select and enter any unique 9-digit number (e.g. social security number). This number serves as an Application Identification Number electronically linking all materials submitted and allowing access to previously entered data. This same EXACT number entered by the center representative must be used by the Center Director, or their designated official, to submit the letter of recommendation.
The
electronic system records the number exactly as entered the first time an applicant
registers their file including the use of dashes, dots, spaces, etc.
Because this can become unnecessarily problematic, applicants are encouraged
to use only numeric characters and avoid other elements in the Applicant Identification
Number.
Applicants
who do not submit materials electronically, and do not identify an Applicant
Identification Number, will randomly be assigned a number.
If
you don't know the applicant's Application Identification Number, but wish to
submit the letter of recommendation at this time please send your letter via
e-mail to: sangrey.mary@nmnh.si.edu. Letters of recommendation submitted by
e-mail are not immediately added to the applicant's file.
